One of the largest suppliers of Consumer Packaged Goods invents, develops and markets thousands of consumer packaged products like shampoos, cosmetics and household products. These products are marketed and sold in over 180 countries. Be Informed has worked with the company to develop a solution to support the product registration process on a global scale.
Complying to multiple regulatory regimes in each of these countries was extremely challenging for the company. Regulatory complexity and diversity in collaborating actors plus the continuous change have become a real barrier and hindrance for the company.
The penalties for not complying are severe:
The registration of a product in any country depends on the regulatory requirements in that country and the registration process of the regulatory and supervisory authority. Also, the characteristics of the product are relevant, and in many cases also the raw materials used in the product. And last but not least, there are specific requirements for artefacts, like documents, that have to be created and processed. To make it even more complex, there are multiple policies and best practices of the own company that have to be adhered to as well. This all leads to a complex mix of intertwined contextual situations, requirements and activities that requires an intelligent dynamic case management platform to support all stakeholders.
Be Informed worked with the company to design a Global Product Clearance solution that – based on the different national and regional product registration rules – instantiates a unique process per product introduction, enforcing the execution of the necessary activities and all the required documents to be delivered.
The sheer size of the applications: Global Product Registration and Raw Material Readiness Assessment was daunting for the project team:
The relationship between the company and Be Informed was started with a sandbox/proof of concept project (the Be Informed 5-day challenge) to demonstrate the feasibility of the ideas. Based on the success of this PoC, the company decided to go on with the project in an agile (budget boxed) approach.
With a project team consisting of – on average – 5 Be Informed consultants, 6 company project members and 10 full-time and 20-30 part-time subject matter experts, the first release of the application was realized within 6 months. After this first release an ongoing project team has developed new and improved versions of the application, including interfaces with SAP and TopQuadrant.
